How do I add a new carer to the system?+
Go to Carers โ New Carer. Fill in the carer's details including employment type, pay scale, and availability. Once saved, you can invite them to the mobile app from their profile page.
How do carers clock in and out?+
Carers use the CareVaultc mobile app to clock in at the start of a visit and clock out at the end. GPS coordinates are captured at both points. Office staff can review clock-in/out times in Timesheets โ Review.
How do I publish a schedule?+
Go to Schedule, select a client, and create events for the week. Once you're happy with the rota, click Publish. Carers will receive a notification with their upcoming visits.
How do I generate payroll?+
Go to Finance โ Carer Pay. Select the pay period, click Calculate, then review each carer's hours, travel, and pay totals. Download individual reports or a full payroll export.
A carer hasn't received their invitation email โ what do I do?+
Go to Carers, find the carer, and click Resend Invitation from their profile. Check that the email address is correct. Ask them to check their spam/junk folder.
How do I reset my password?+
On the login page, click "Forgot password" and enter your email address. You'll receive a reset link within a few minutes. If you don't receive it, check your spam folder or contact your agency administrator.
Can I export data from CareVaultc?+
Yes. Payroll reports, timesheets, mileage, and client hours can all be downloaded as CSV or PDF from the Finance and Reports sections.
How do I add a new admin or scheduler user?+
Go to Settings โ Users โ Invite User. Enter their email and select their role. They'll receive an email invitation to set their password and access the system.
What happens if a carer misses a clock-in?+
The visit will appear in Timesheets with a missing clock-in flag. A coordinator can manually enter the time and confirm the timesheet on the carer's behalf.
Is my data backed up?+
Yes. CareVaultc runs on a secure cloud server with regular automated backups. Data is encrypted in transit and at rest.
